Job description

Work for purpose and payment in this role that will require you to manage the operational, human resources, finance, technology and reporting functions in support of the executive director.

You will be joining a well-established social investment organisation under dynamic leadership. The General Manager position is however brand new, so there is ample opportunity for you to make your unique mark within the organisation.

Solid experience in a role with similar tasks is a must, as you will be expected to hit the ground running if you are the successful applicant.

Responsibilities
Operations
Lead
  •  Review, update and/or create standard operational documentation and workflows
  •  Ensure adherence to approved procedures by staff and stakeholders
  •  Manage small office facilities, supplies, equipment, and ensure compliance with health and safety regulations
Support
  • Coordinate travel and event logistics related to site visits
  • Provide administrative support to executive director

Human resources
Lead
  • Manage the team (5-10 people)
  • Oversee team priorities and performance
  • Set up and lead weekly progress meetings with staff
  • Ensure implementation of agreed action items
  • Ensure that staff act in alignment with organisational values
  • Perform quarterly assessment of staff performance
  • Serve as organisation representative in labour relations activities
  • Manage leave requests, approvals and scheduling
Support
  • Support hiring processes, job specs, CV reviews, and interviews for new staff requirements
  • Research and recommend reward structures
  • Research and recommend training development initiatives
Finance
Lead
  • Identify and mitigate financial risks, implementing strategies to safeguard organisational assets and sustainability
  • Monitor cash flow, budget development, and financial forecasts to support operational needs and strategic goals
  • Ensure efficient financial management and accountability
  • Prepare financial reports for management and board meetings to facilitate informed decision-making
  • Manage relationships with debtors and creditors, optimising payment processes and maintaining financial health
  • Review and approve all staff expense claims, ensuring adherence to policies and accurate submission
  • Ensure compliance with tax regulations and oversee the preparation and filing of tax returns
  • Oversee the annual audit process and liaise with auditors to ensure compliance and accuracy
  • Create action plans for audit findings and monitor progress
Support
  • Contribute to the development and implementation of financial strategies aligned with organisational objectives
  • Support Executive Director and Project Administrators with research for and formulation of budgets
IT
Lead
  • Develop and implement a digital transformation and efficiency plan to enhance operational capabilities, effective communication and teamwork
  • Establish and maintain robust data management practices to ensure security, integrity, and regulatory compliance
  • Provide training and support to staff on digital tools and platforms for smooth adoption and utilisation
  • Strengthen cybersecurity measures to protect digital assets and sensitive information

Support

Governance and reporting
Lead
  •   Create monthly status reports for Executive Director
  •   Create quarterly status reports for Board meetings
  •   Take and circulate minutes of Board meetings
  •   Review and update or create internal and external policies
  •   Monitor internal and external policy implementation
  •   Review and update all contracts and agreements with stakeholders
  •   Develop and implement an impact measurement strategy aligned with organisational goals
  •   Implement a relevant measurement tool to track impact
  •   Maintain organisation contact records

Support
  • Establish a comprehensive quality assurance programme in collaboration with Executive Director
  • Update monthly finance and operations reports
  • Support compilation of quarterly Board pack




Requirements
Education

Formal qualification in business management will be advantageous

Experience
2-5 years in a role with similar tasks and level of responsibility is mandatory
