Job description
Job summary :The gatekeeper for all creative and digital outputs within our agency – Traffic Manager is one of the most vital behind the scenes roles in an Agency. The traffic manager is required to lead the processes in the right direction with efficiency, agility, and best practice in mind. This position requires someone who has a passion for Traffic, is an excellent all-rounder with sound knowledge of the digital world. Required to be passionate about people, process, solutions, communication, and trouble shooting.
Primary duty of a traffic manager is to ensure that all marketing collateral and work from client services flows efficiently to the creatives and production departments. The Traffic manager is responsible for keeping everyone on task and the projects on deadline, handling the logistics and keeping all agency stakeholders updated on the progress throughout the project and workflow. The individual will be required to manage all outputs of the traffic department , maintain and build strong relationship with department heads and all agency resources .
Key objectives and accountabilities
The traffic manager is required to:
- Effective scheduling of creative, content, digital and strategy departments, ensuring all resources remain on deadline and efficient communication of status of all work tasks assigned.
- Policed internal traffic processes - from briefs, project scope, planning and deadlines.
- Overview of all projects and coordination of the smooth handover from one resource to the next during the work-flow process.
- Interact on ground level with all staff and ensuring all parties are informed.
- Ensure Briefs are clear and concise. Guide CSM’s where this is not the case and ensure they supply Briefs that will ensure that the Team can action without any confusion.
- Trouble shoot projects in distress and timeously identifying red flags to be proactively managed.
- Update resource schedules daily to ensure accurate scheduling of all projects.
- Update and manage resource schedules with regards to resources leave requests.
- Liaise with HOD’s to ensure the right skill and timings are allocated to the project.
- Ensure daily stand-ups and priority of work tasks.
- Keep a close eye on timings and deadlines to ensure jobs are on track.
- A thorough understanding of the creative, strategy, digital and content process to efficiently traffic all tasks.
- Good interpersonal skills to deal with various personalities within the agency.
- Drive the Chase platform to be an efficient and utilised tool throughout the agency.
- Ensure system updates are investigated and implemented as and when, and if required to streamline workflow.
- Drive, manage and control the New Business/Pitch process very closely. This process needs to be very well managed and run.
- Chase feedback instead of waiting for it, ensure HODs are well informed should resources not be delivering.
- Be the person in the agency that is present, seen, heard, and felt, by ensuring interaction at all levels.
- Look further than just the briefs – where can process be improved, who is not working optimally (raise with HOD), who doesn’t have work (what can you do to get some work onto their schedule), keeping planning and looking for streamlining and improvement.
- Day-to-day management of the junior traffic manager.
Performance will only be deemed satisfactory when:
- Tasking is efficient and not overbearing
- The Creative Team receive briefs that have been fully checked to ensure that there is clear instruction, and all of the necessary collateral/information has been provided before they commence the work rollout
- Creatives are happy and on track with the tasks they need to do to stay on schedule
- The workflow is efficient, and the right stuff is getting done by the right people
- The work is being completed on schedule and on budget
- All stakeholders are always aware of the status/progress of the work in the system
- Work does not leave the studio before it has passed the necessary quality assurance checks
- Chase System is managed efficiently with accurate reporting
- Efficient Communication and management of deadlines on all jobs.
- Timesheets are captured correctly and timeously, if applicable to role.
Education:
Preferred Diploma and/or other related to Digital/ Marketing/ project management.
Must be from an Agency Background.
Must be pro-efficient on CHASE SYSTEM.
Languages:
Business English
Experience:
A minimum of +3 years relevant experience in a similar role, within agency and a strong competency with working on CHASE.
