      Personal Assistant to CIO and CTO

      The personal assistant to the chief information officer (CIO) and chief technology officer (CTO) provides high-level administrative support to both executives. The role requires a proactive individual who can manage a wide range of administrative and executive support-related tasks, working independently with minimal supervision. This position demands a high degree of
      professionalism, discretion, and initiative.

      Requirements:
      • Minimum of 3-5 years of experience supporting C-level executives, preferably in a technology or IT-related industry.
      • Exceptional organisational and time-management abilities.
      • Strong written and verbal communication skills.
      • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
      • Ability to handle multiple tasks simultaneously and meet tight deadlines.
      • Strong problem-solving skills and attention to detail.
      • Ability to work independently with minimal supervision.
      • High level of integrity and discretion in handling confidential information.
      • Strong interpersonal skills and the ability to work effectively with diverse groups of people.
      Responsibilities:

      Administrative support:
      • Manage and maintain the CIO and CTO’s schedules, including appointments, meetings, and travel arrangements.
      • Screen and prioritise incoming communications (emails, phone calls, etc.).
      • Prepare and edit correspondence, communications, presentations, and other documents.
      • Handle confidential and non-routine information with the highest level of discretion.
      Meeting coordination:
      • Schedule and organise meetings, including preparing agendas, taking minutes, and following up on action items.
      • Coordinate and manage logistics for internal and external meetings, including arranging venues, catering, and necessary equipment.
      Travel management:
      • Arrange domestic and international travel itineraries, accommodations, and transportation.
      • Prepare detailed travel plans, itineraries, and travel-related documentation
      Project support:
      • Assist with the preparation and tracking of project timelines, deliverables, and milestones.
      • Conduct research and compile data to support project-related activities.
      Communication liaison:
      • Serve as a primary point of contact for internal and external stakeholders on all matters pertaining to the CIO and CTO.
      • Facilitate communication between the executives and various departments within the organisation.
      Document management:
      • Organise and maintain electronic and paper files, ensuring information is easily accessible and up-to-date.
      • Develop and implement efficient documentation and filing systems.
      Financial administration:
      • Assist with budgeting, expense reporting, and financial recordkeeping for the CIO and CTO’s offices.
      • Handle purchase orders, invoices, and reimbursements.
      Office management:
      • Ensure the executives’ offices run smoothly, including managing office supplies and equipment.
      • Handle any administrative issues that arise promptly and efficiently. 
      Working conditions:
      • Full-time position, typically working in an office environment.
      • Occasional travel may be required to support the CIO and CTO during business trips.
      • Flexibility in working hours may be necessary
