Production Assistant

Have You Heard is a creative and dynamic advertising agency that specialises in delivering innovative marketing campaigns for a wide range of clients. We are looking for a highly motivated and detail-oriented production assistant to join our team. As a production assistant, you will work closely with our production team to support the development and execution of high-quality campaigns.

Job summary

The production assistant will play a key role in the day-to-day operations of the production team, helping with the coordination and logistical aspects of advertising/activation campaigns. You will assist in everything from pre-production planning to on-site execution, ensuring that the production process runs smoothly and efficiently.

Key responsibilities

• Assist in the planning and coordination of production schedules, meetings, and logistics.
• Support the production team with research and gathering materials for campaigns.
• Help coordinate talent, crew, and equipment for shoots, ensuring that all necessary resources are available and on time.
• Act as a point of contact between the production team and other departments (creative, marketing, etc.) to ensure smooth communication.
• Prepare and organise production documents, including contracts, call sheets, and shot lists.
• Maintain and organise production assets, files, and equipment.
• Assist with location scouting, permits, and other administrative tasks.
• Help set up and break down on-location shoots and handle on-site support as needed.
• Assist in managing budgets, tracking expenses, and ensuring that productions stay within financial constraints.
• Handle various day-to-day tasks related to the overall production process as needed.

Requirements

• Bachelor’s degree in film, media, communications, or a related field (or equivalent experience).
• Strong organisational and time-management skills with the ability to manage multiple tasks simultaneously.
• Excellent communication and interpersonal skills.
• Ability to work under pressure and meet tight deadlines in a fast-paced environment.
• A keen eye for detail and a proactive attitude.
• Previous experience in a production or agency setting is a plus, but not required.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with production management software is a plus.
• A passion for the advertising industry and a strong desire to learn and grow in production.
