Show profile Hide profileRESPONSIBILITIES (PROJECT ADMINISTRATOR)
Managing the Technical Director's schedule by planning and scheduling meetings, conferences, teleconferences, travel etc.
Support Technical staff on project and general administration
Manage and coordinate communications both internally and externally.
Develop and format documentation using appropriate software.
Quality control of presentations, documents and spreadsheets
Capturing time sheets (where applicable as administrator)
Provide project related administration and project management assistance to the Client
Ensure that the Client is handled professionally and courteously at all times
Setup a new project templates, project codes and information, including ensuring that contracts are signed and filed
Relevant project cost trackers to be maintained with timesheet information and invoice details to track performance for each project
Relevant project data sheets compiled and saved for future reference
Project closure reports completed with the Project Management to be saved
Assistance with the compilation of client invoices, including tracking of all disbursements for the relevant projects, ensuring monthly submission of invoices form all consultants
Support bid documents collection (putting together staff CV's company profiles and other documentation)
Ensure tenders are fully collated, signed, printed and delivered on time
Maintain a "tender/proposal" submission list to track
Assist Project Managers with the preparation of presentations and any research of relevant documentation
Taking of minutes of project meetings required
Ensuring that all project administration support is provided.
