Are you the organiser extraordinaire we’ve been searching for? Someone who thrives on deadlines, dots every “i,” crosses every “t,” and keeps a million plates spinning without breaking a sweat? 

We’re on the lookout for an events and conference coordinator to join our [amazing/crazy/collaborative] team. Here’s the deal:
  • You’ll work across all projects in the business, from exhibition coordination to speaker management, supplier sourcing, event marketing, and sponsor magic-making.
  • You’ll dive into financials and P&Ls (because budgets don’t manage themselves).
  • And you’ll basically be the glue that holds our projects together while making it all look effortless. 
A few things you need to bring to the table:
  • Agency experience is a must (you know how we roll).
  • Bonus points if you’ve worked on conferences before.
  • Extra bonus points if you’re a ClickUp ninja (or at least willing to become one).

What you'll do: 
  • Project coordination: Work across multiple projects, supporting Project Managers to ensure smooth execution from start to finish.
  • Exhibition management: Assist with exhibitor communications, logistics, and floor plans.
  • Speaker management: Liaise with speakers to confirm participation, collect materials, and manage logistics.
  • Supplier management: Source and manage suppliers, negotiate contracts, and ensure deliverables meet standards.
  • Creative briefs: Collaborate with the creative team to develop briefs and oversee project deliverables.
  • Sponsor management: Coordinate with sponsors, ensuring their entitlements are delivered on time and to specification.
  • Financial management: Assist with project budgets, P&Ls, supplier invoices, and cost tracking.
  • Event marketing: Support marketing initiatives, including email campaigns, social media posts, and other promotional efforts.
  • RSVP management: Handle registration platforms, manage guest lists, and communicate with attendees.
  • Tool management: Use ClickUp to track tasks, deadlines, and project progress.

  4. Strong communication skills, both written and verbal.
  5. Experience with ClickUp or similar project management tools is a significant advantage.
  6. Conference experience, including speaker or sponsor management, is highly desirable.
  7. Personality: A happy proactive problem-solver who thrives under pressure and loves collaboration.
