We are looking for a talented and motivated designer to join our team! In this role, you will act as an intermediary between our clients and our company, providing design services, product information, and software support. You will collaborate with clients to understand their needs and translate them into high-quality designs, ensuring a smooth and efficient experience.
Scope:
- Consult with clients to understand their design requirements.
- Design creative solutions that meet client expectations.
- Communicate client concerns to management.
- Provide exceptional customer service via email, phone, and in-store.
- Prepare print-ready pre-press files.
- Assist with general office administration tasks.
- Relay information to production staff and department managers.
- Manage workload and meet deadlines.
- Maintain equipment and software.
- Supervise trainee assistants.
Key duties and responsibilities:
- Process orders with clear instructions for the production team after client sign-off and payment.
- Provide print-ready files to production, double-checking for errors.
- Organise and file job tickets and folders.
- Perform monthly backups of design data.
- Update album exposure and archive jobs.
- Maintain a daily designer log.
- Follow up on orders in production.
- Check completed designs for printing flaws.
- Send completion emails to clients and provide digital backups.
- Maintain clear and consistent communication with clients via email and phone.
- Ensure a smooth handover of duties during absences.
- Schedule appointments with clients and brief them on the design process.
- Consult with clients to understand their design needs (photobooks, Create & Print products, retouching/restoration, etc.).
- Provide clients with pro-forma invoices and estimated design hours before proceeding.
- Receive and respond to client calls, emails, and inquiries in a professional and friendly manner.
- Follow established company policies and culture in all client interactions.
- Make outbound calls and emails to complete internal requests.
- Redirect inbound calls to the relevant departments.
- Ensure accurate data entry and information processing.
- Advise and support clients using Orms Create & Print software.
- Build and maintain positive relationships with clients.
- Monitor client satisfaction and address any issues.
- Collaborate with clients to identify value-added services.
- Recommend process improvements.
- Provide feedback to management on areas for improvement or concern.
- Escalate customer complaints and redos to management immediately.
- Process card and EFT payments and maintain records for accounts.
- Check G-Drive daily for proof of EFT payments and update invoices accordingly.
- Generate invoices as needed.
- Provide quotes to customers promptly.
- Follow up on outstanding quotes.
- Supervise, train, and direct trainee employees and assistants.
- Complete all necessary training documentation.
- Maintain a positive attitude, strong communication skills, and a team-player mentality.
- Uphold a professional work ethic.
- Adhere to company lead times.
- Communicate problems promptly to avoid escalation.
- Maintain a neat and presentable appearance (including wearing supplied ORMS apparel).
- Keep your workstation and reception area clean and organised.
Qualifications:
- Ability to work independently with minimal supervision.
- Excellent planning and organisational skills.
- Strong attention to detail.
- Experience working on complex projects within deadlines.
- Ability to provide friendly, high-quality support efficiently and accurately.
- Willingness to assist clients with any ORMS Print Room & Framing or Create & Print inquiries.
- Quick learner with the ability to master new procedures and software.
- Effective verbal and written communication skills.
- Ability to work under pressure and meet deadlines.
- Strong interpersonal skills and ability to build rapport with a diverse clientele.
Knowledge:
- Expert knowledge of Create & Print software, Photoshop, InDesign, and album exposure.
- Online and offline order procedures.
- Various papers, sizes, weights, grades, and uses.
- Printers and their applications.
- All Create & Print products and Print Room products.
- Working knowledge of materials and equipment used in ORMS Print Room & Framing and ORMS Create & Print (printing, framing, binding, finishing).
- Basic accounting principles and working knowledge of MS Office applications.
