Job description

Role summary:

To coordinate the gardening, cleaning, maintenance and property management functions, including the related invoicing and other administrative duties as required.


Key responsibilities

Major Tasks [KPI’s]:

Property Management
  • Perform all administrative functions related to tenant’s contracts and leases
  • Manage the allocation of rental space
  • Manage and monitor invoices, statements and payments and capture them on the financial system. Refer defaulters to Legal advisors
  • Manage and monitor the reading of water and electricity meters
  • Manage all Municipal accounts related to the organisation Property
  • Ensure adequate stock of consumables for Head Office and Property management, including electrical parts, gardening equipment and cleaning materials
  • Compile and Manage budget and forecast(operating, capital and sales)
  • Manage and control expenditure according to budget and report deviations according to financial procedures
  • Collate and compile monthly reports and submit to Management
  • Manage and monitor maintenance team activities both for organisation offices and rented space as per agreements
  • Manage and monitor the daily activities of the gardening and cleaning teams
  • Manage and attend to maintenance requirements for both the organisation and tenants as per agreements
  • Maintain relationships with service providers
  • General administrative functions

Financial
  • Recommends cost saving initiatives and controls expenditure within approved parameters

SHEQ
  • Adhere to all guidelines related to Security, SHEQ and IT operational policies and procedures
  • Ensure Fire and Safety equipment is maintained and kept in good working condition

Stakeholder Engagement
  • Provide solutions according to client needs and best practice principles


Requirements

Job Specification:

Education:
  • Diploma in Business Administration or equivalent
  • 3 years facilities management experience is a pre-requisite
Legal
  • Computer literate – Microsoft Suite of Products
Technical / Computer Knowledge
  • Ability to competently use Microsoft Suite of Products required
  • Valid Driver’s licence
Working Conditions
  • Willing to work after hours when necessary
